Your privacy is one of our top priorities. Willow uses cloud-based AI models so you can get the most accurate and responsive dictation experience. Cloud models let us support high-quality transcription that is faster and more reliable than what local models can do today.

Because cloud processing introduces privacy concerns, we built strong guardrails to keep your data protected. Everything in Willow is designed with security, transparency and control in mind, including SOC 2 and HIPAA compliance.

Your Privacy Options

Willow gives you two simple privacy modes. You can switch between them anytime.

Private Mode (default)

Private Mode is the safest option and is turned on automatically.

In this mode:

  • No dictated text is collected

  • No transcript content or contextual awareness data is saved on Willow servers (this is only stored locally on-device)

  • No audio is stored (this is only stored locally on-device for re-transcription)

Your transcription activity stays private and separate from your account at all times.

Help Willow Improve (optional)

If you turn this on, Willow collects your transcript text to help improve accuracy and writing quality. Even in this mode, your account is anonymized. Your personal identity is not connected to any transcript data.

In this mode:

  • Only recognized text is collected

  • Text is anonymized

  • No audio is collected

  • No one can view your dictations

  • Data is used only inside our training system

You can turn this on or off in your settings.

Transcript History

Your Transcript History is stored only on your device for your own viewing and re-transcription as needed. That means if you switch devices, you will not retain any of your previous transcripts. Willow does not use these transcripts unless you choose the Help Improve mode.

Context Awareness (optional)

Context Awareness helps Willow understand what you are writing about so spelling and formatting become more accurate. If you turn it on, Willow can read small bits of text around your cursor.

  • This information is not stored

  • This information is not linked to your account

  • You can turn it off at any time

When the feature is off, Willow does not read or use any on-screen text.

Why We Use Cloud Models

Cloud models let Willow deliver better accuracy, faster corrections and more natural text output. On-device models cannot match this level of performance right now.

We choose cloud processing because we want Willow to feel smooth, instant and dependable every time you dictate. To balance performance and privacy, our system is built with enterprise-grade security and strict data protections.

Security and Encryption

We use strong security measures across our entire system.

  • SOC 2 compliance

  • HIPAA compliance

  • Encryption in transit (TLS)

  • Encryption at rest

  • Strict access controls

  • Role-based permissions

  • Row-level security

  • Logging and monitoring across all systems

These controls keep your data locked down even inside our internal infrastructure.

Enterprise-Grade Privacy and Compliance

For teams and enterprise customers, Willow provides advanced protections designed for high-security environments like healthcare, legal and large organizations.

Enterprise plans include:

  • SOC 2 compliance

  • HIPAA compliance

  • Enforced zero data retention

  • Enforced privacy mode

  • Enforced disabling of Context Awareness

  • Signed MSA and DPA

  • SSO and SAML support

  • Advanced admin controls

  • Higher-level security policies and protections

Enterprise plans are built for scale, compliance and strict privacy needs. They give your organization complete control over how Willow handles, stores and processes data.

If you are interested in an Enterprise plan, email [email protected] with your company name, seat count and requirements.
